Tablet, the National Magazine Award-winning daily online magazine of Jewish ideas and culture, is seeking a Chief Administrative Officer to lead a strategic professionalization of all operations related to the magazine’s internal functioning.

The right candidate would apply several years’ experience with creative problem-solving in small-to-medium offices to deploy a comprehensive strategy to manage and streamline operations, and implement and run systems for freelance writer payments, subsidiary rights permissions, content workflow, and all aspects of physical office admin, including potential redesigns of office spaces accommodating new and future work-from-home and temp workspace arrangements.

The candidate ideally but not necessarily has experience in (internet) publishing and/or foundations/non-profits, and understands the needs of a creative editorial staff. The candidate has exceptional people skills, and wants to join a team in behind-the-scenes support of all aspects of the day-to-day, medium, and long term running of an internet magazine that is growing. As a professional administrator, the candidate takes pride in making life better for everyone on the team, and prizes civility and courtesy.

Duties include:

General operations management

Create and maintain system for:

  • New employee on-boarding
  • Insurance paperwork and process
  • Scheduling and monitoring weekly staff meetings
  • Monitoring main public email inbox and P.O. Box
  • Managing IT consultants
  • Managing staff-related tech: Zoom account, software licenses, email accounts, office internet and phone lines, etc. 
  • Managing and maintaining tax exemption documentation for vendors 
  • Office supply monitoring and ordering
  • Organize occasional staff meals and gatherings

Payments/Budgeting

Create and maintain system for:

  • Internal budgeting documentation
  • Vendor and consultant invoices incoming to Tablet
  • Writer and artist contracting and payment, including expense reports and reimbursements for both staff and freelancers
  • Monitoring Tablet credit card accounts and reconciling monthly statements
  • Reprint/excerpt contract management and payment 
  • Editorial point of contact with bookkeeper

Space management

Create and maintain system for:

  • Overseeing communication with landlord, building staff, and subtenant
  • Point person for office-related vendors
  • Managing office keycards + elevator cards
  • Managing mobile entry app

The Chief Administrative Officer will report to Tablet’s Editor in Chief.
